Xythos announces records management and scanning solutions
New Products Designed to Simplify Regulatory Compliance
SAN FRANCISCO, Calif., October 20, 2003 - Xythos Software, the leading Internet file management software provider, today announced the introduction of two new software products specifically designed to help organizations respond to the growing number of federal and state regulations requiring improved information compliance capabilities. Both new products work together with the company's line of WebFile Server software providing a simpler and less costly alternative to traditional enterprise applications while integrating regulatory compliance functionality directly within common desktop application and browser environments.
The new Xythos WebFile Records Manager (WRM) software has been specifically designed to ease the cost of compliance with regulations such as HIPAA, Sarbanes Oxley, FDA 21 CFR Part 11, and a variety of state level information access regulations. The WRM allows users to dynamically create and manage physical and electronic documents in the same system, develop uniform retention schedules and is 100% WebDAV compatible. The company's new WebFile Scan Manager (WSM) software helps automate the process of adding physical documents and records into the WebFile Server simplifying the process of developing comprehensive multi media compliance solutions. "Several of our largest clients have been asking us for easier to use and less costly compliance solutions" said Bryan Reynolds CEO of Fortis Technologies, a Xythos solutions provider and document management specialists. "Our customers simply don't have the time or budget available to upgrade their legacy document management systems to meet compliance deadlines so simpler web standards based solutions like Xythos' WRM are a welcome alternative", he added.
According to industry analysts the cost of complying with growing document compliance regulations is expected to rapidly increase in the next several years and almost all industries will be affected. "Developing comprehensive records management policies will probably become an un-avoidable cost for most organizations," said Ed Miller, CEO of Xythos "However, when compliance programs are combined with enterprise-wide solutions that simplify how employees find, access and share information the result can become a net gain for the organization", he suggested. In fact, Xythos customers are already experiencing measurable benefits while using it products to improve content security and compliance. The Surgical Planning Lab at Boston's Brigham and Women's hospital already uses the WebFile Server to address HIPAA compliance requirements and is now accelerating its grant submission process using its integrated collaboration features helping to increase project funding. The integration of electronic and physical records management with the company's simple content management system will extend the utility of all enterprise content increasing user's ability to re-use it and collaborate with it.
Key features included in the WebFile Records Manager include:
- Dynamic, single system physical and electronic records management
- Integrated document retention schedule management for improved compliance
- Combined physical and electronic records searching
Key features included in the WebFile Scan Manager include:
- Batch mode scanning and filing for improved efficiency
- Barcode document processing and pre-classification
- Integrated document redaction for improved content security
Xythos will introduce and demonstrate both new products beginning October 20th at the Association of Information Management Professionals (ARMA) annual convention in Boston, MA and at the Gartner ITXPO in Orlando, FL.
